How Vectrel handles information across our public website, intake flows, AI assistant, scheduling, and hiring-related interactions.

1. Scope of this policy

This Privacy Policy explains how Vectrel ("Vectrel," "we," "us," or "our") collects, uses, stores, and shares information when you visit https://www.vectrel.ai, submit an inquiry, use our public AI assistant, schedule a discovery call, or otherwise interact with the public-facing parts of our business.

This policy is written for our public website and related business development flows. It does not by itself govern project-specific systems, client environments, or data-processing obligations that may be covered in separate client agreements.

2. Information we collect

Information you provide directly

Depending on how you interact with us, we may collect:

  • Your name, email address, company, role, and other contact details you choose to share.
  • Project-related details such as project type, description, timing, budget range, referral source, and additional context when you use our intake flow or contact us about services.
  • Chat messages, follow-up details, and any information you choose to submit through our public AI assistant.
  • Scheduling information such as your name, email address, time zone, and selected meeting time when you book a call with us.

Information collected automatically

We may also collect or generate limited technical information, including:

  • Analytics and interaction data from the public site when analytics have been enabled for your browser.
  • IP address, browser or user-agent information, and page URL data used for site security, rate limiting, chat operations, and abuse prevention.
  • A cookie preference record that stores whether you accepted or declined analytics.
  • A session-scoped attribution record that may include the first landing path, referring site host, campaign tags, source content, service page, and call-to-action location. If you consent to advertising measurement, it may also include Google click identifiers such as gclid, gbraid, or wbraid and related campaign parameters.

3. How we use information

We may use information covered by this policy to:

  • Respond to questions, inquiries, and project submissions.
  • Evaluate project fit and prepare for discovery or follow-up conversations.
  • Schedule meetings and coordinate business development communications.
  • Operate and support the public AI assistant and related workflows.
  • Maintain internal records tied to website inquiries and follow-up activity.
  • Monitor site performance, security, and abuse-prevention controls.
  • Improve the public website and understand how visitors use it.

We do not sell or rent your personal information to third parties for their own marketing use.

4. AI chat and interactive tools

Our website includes an AI assistant that helps visitors learn about Vectrel's services, process, and fit. The assistant may also guide you into related tools such as our intake flow or scheduling flow.

When you use the assistant, we may store information associated with the conversation, including message content, a session identifier, page URL, IP address, browser or user-agent information, and metadata about tool calls or tool results used in the conversation.

The assistant also relies on third-party AI infrastructure. Prompts, responses, embeddings, or related inference data may be processed through OpenRouter and, depending on routing, underlying model providers. We may review assistant activity for operational support, troubleshooting, quality review, and abuse prevention.

Please do not submit highly sensitive personal, financial, medical, or other regulated information through the public assistant unless we have expressly agreed to handle that information through an appropriate channel.

5. Intake, scheduling, and relationship management

If you submit our intake form, the submitted information is stored in our backend systems and may be routed through internal workflow tools so our team can review the inquiry, follow up with you, and maintain a record of the opportunity.

Intake submissions may create or update internal business-development records, trigger internal team notifications, and support follow-up tasks such as project review or discovery planning.

If you schedule a meeting, your scheduling details are processed through our booking provider so the call can be placed on the calendar. If you use the assistant to start an inquiry or book a meeting, the information you confirm may flow into these same intake and scheduling systems.

6. Cookies and analytics

We treat first-party, cookieless usage analytics as essential to operating the public site. Vercel Web Analytics runs on every public-site visit so we can measure aggregate page views and navigation, detect broken pages, and improve the experience. This tool does not set tracking cookies and does not collect personal identifiers; it cannot be disabled while using the public site, although browsers that send a Global Privacy Control signal are still honored where applicable law requires.

On the production public site, we use Google Analytics 4 and Google Ads measurement with Advanced Consent Mode. Before you make a choice, analytics storage, advertising storage, advertising user data, and ad personalization are all denied. The Google tag may send limited cookieless pings without setting Google Analytics or advertising cookies. Google may use those pings for aggregate, modeled reporting.

We use a first-party cookie, vectrel_analytics_consent, to remember whether you accepted or declined Google measurement for your browser. If you accept, analytics storage, advertising storage, and advertising user data are granted so we can measure visits and completed inquiries. Ad personalization remains denied. If you decline, those storage and user-data signals remain denied.

If your browser sends a Global Privacy Control signal, the Google tag is not loaded regardless of the preference cookie. Vercel Web Analytics continues to operate as described above.

We also record custom interaction events (for example, navigation clicks, form starts, and booking confirmations) through these same tools, subject to the same rules above.

To understand which content leads to a project inquiry, we keep a first-touch attribution record in browser session storage. It is attached to an intake record only if you submit the form. Google click identifiers are added to that record only after you grant advertising storage consent.

After a successful project inquiry, and only when the relevant consent has been granted, we may use the email address you supplied in a dedicated Google Ads enhanced-conversion payload. The Google tag normalizes and hashes the value for conversion matching. We do not include your email address or other directly identifying form fields in Google Analytics event parameters, and we do not use this feature for ad personalization.

We may also use limited technical data such as IP address or similar request metadata for rate limiting and abuse prevention.

7. Sharing and service providers

We share information only as needed to operate the public site, respond to inquiries, support hiring, or comply with applicable law.

Our public-site workflows currently rely on service providers such as:

  • Vercel for website hosting, deployment, and Vercel Web Analytics.
  • Google for Google Analytics 4 and Google Ads measurement, including public-site usage analytics, traffic attribution, conversion reporting, and consented enhanced conversions.
  • Supabase for database storage, file storage, search or retrieval support, and operational records tied to forms, careers, and chat activity.
  • Inngest for event and workflow processing related to submissions and internal follow-up.
  • Resend for transactional and notification email.
  • OpenRouter and underlying model providers for chat responses and embeddings.
  • Cal.com for scheduling and booking discovery calls.
  • Upstash for rate limiting and abuse-prevention controls.

We may also share information with professional advisors, with law enforcement or regulators where required, or as part of a corporate transaction if our business changes in the future.

8. Retention

We retain information for as long as reasonably necessary to operate the public site, respond to inquiries, support business development, maintain records, enforce our agreements, and satisfy legal or operational needs.

Different categories of information may be retained for different periods depending on context. For example, inquiry, scheduling, chat, and recruiting records may be retained for follow-up, recordkeeping, security review, or legal compliance purposes. We may delete or anonymize information when it is no longer reasonably needed.

9. Security

We use reasonable technical and organizational safeguards appropriate to the public-site context, including encrypted transport (HTTPS/TLS), access controls, vendor-managed infrastructure, and operational controls around the systems that support the website.

No internet-facing system is completely risk-free, and we cannot guarantee absolute security. Please avoid sending information through the public site that would require a higher-assurance channel unless we have specifically directed you to do so.

10. Your choices and rights

Depending on your location and the applicable law, you may have rights to:

  • Request access to personal information we hold about you.
  • Request correction or deletion of certain information.
  • Ask questions about how your information is used or shared.
  • Change your analytics preference for the public site.

To make a request, contact us at hello@vectrel.ai. We may need to verify your request before we can complete it.

You can reopen the consent controls at any time by selecting Privacy choices in the site footer. A Global Privacy Control signal takes precedence over a stored acceptance.

11. Children's privacy

Our public site and services are not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the public website.

12. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our business, public-site flows, vendors, or legal requirements. When we do, we will post the updated version on this page and revise the "Last updated" date.
