Applicant Privacy Notice

2. Information we collect from applicants

Depending on the role and your submission, we may collect:

• Name, email address, and location.
• Links to LinkedIn, personal websites, GitHub profiles, or code samples.
• Resume or CV files uploaded through the public application flow.
• Application responses such as years of experience, relevant project descriptions, LLM API experience, agentic tool usage, availability, and other information you choose to share.
• Limited technical data such as IP address or similar request metadata used for rate limiting, anti-spam controls, and form security.

Please avoid including highly sensitive information in the public application flow unless it is clearly necessary for your application and appropriate for a normal hiring process.

3. How we use applicant information

We may use applicant information to:

• Review qualifications and evaluate fit for the role you applied for.
• Coordinate interviews, follow-up communications, and hiring decisions.
• Maintain internal recruiting records and application history.
• Confirm receipt of your application and notify internal reviewers.
• Protect the application flow from spam, abuse, or repeated misuse.

4. Sharing and service providers

Applicant information is shared only as needed to operate our hiring flow, review applications, or comply with legal obligations.

Our current applicant flow relies on service providers such as:

• Supabase for application records and resume file storage.
• Resend for applicant confirmation emails and internal notifications.
• Upstash for rate limiting and abuse prevention on the application endpoint.

Internally, applicant information may be shared with the Vectrel team members involved in recruiting, reviewing applications, and coordinating next steps.

5. Storage and retention

Application records and resumes may be stored in our recruiting systems for as long as reasonably necessary to evaluate the application, manage recruiting operations, maintain records, and meet legal or business obligations.

We may delete or archive applicant records when they are no longer reasonably needed for those purposes.
